All through my career, I have been a life mentor and taught many people the benefits of staying organized and improving productivity. I have personally organized myself, and it really helped me grow my profits as well.
For me, being organized is among the few natural traits of human personality, but sometimes it can be practiced and learned. I am a strong believer that everything has its own place and time. From the start, everything in my wardrobe used to be at its own place. My shoe racks had a certain space where they usually organized and placed, and the same with all other things.
But being organized is not just about having a nice and clean wardrobe, or having shoes at its own place. It’s also about how our life and work are being organized to run smoothly and increase productivity. It applies everywhere, whether you are planning to throw a party or arranging decors and visits, or simply just doing day-to-day jobs, being organized is extremely important, and helps improve productivity and efficiency of everything.
Being organized at the office or in a job is extremely important to keep achieving the desired goals and objectives and keeping the boss happy. However, it is not that complicated to do so.
Here are all possible and the best efficient ways to become more organized and improve productivity.

Create a List of Your Tasks
Every morning start a brand new task list for that day, accompanied by any leftover tasks from the previous days. Leave space of one line between every task so that you can write down any updates regarding the work if required. Checkmark off the items as they are finished. Doing this means you never lose track of the task that hasn’t been completed yet and will keep reminding you of completing it.
Be Efficient
Think about how your work, office, or business is currently operating, and be open to your opportunities to change the way you work. Remember that making short- and long-term lists is as important as prioritizing tasks, especially in small businesses and goals.
Think about the better ways for staff members to structure and align their days to achieve their daily goals. Present a plan to each member to manage any of your workloads with others and motivate them to make a list to ensure that they complete the Priority Work on time and stay in the place throughout the day, leading to effective work.
Use your Calendar
Everything should be present with details in your calendar – your meetings, due-in reports, due-out reports, financial incoming, outgoings, etc. Having all of these placed in your calendar will help you stay updated on what is coming up within the few periods of time, in about a weak or two. Knowing what is coming up by self-reminder rather than relying on others will reflect better on you and your work and increase your efficiency and help you be better organized.
Know your limits
It is important to know exactly how long it takes to complete a task so that you can manage your time more effectively. Sending a simple email can take ten minutes, while complex tasks like accounts can take several hours or weeks. When you know how long it takes to complete a task, it means you can also better arrange and manage your workload because you know you can quickly get that task out of the way before even continuing the task. It will also help you to set realistic expectations regarding the completion of the tasks.
Don’t be late
Always be on time. Being late for work will weaken your day, and you will be playing for the rest of the office. And when it comes to meetings, try to be on time, and always make sure you’re ready. Being punctual is extremely important, and it doesn’t just reflect you, but your work also. Staying at the right time will also let other people make their perception about how much you value their time. Running late can be seen sometimes as extremely offensive as well. If you don’t reach the office on time or attend the necessary meetings, people will start to trust you less.
Have a clear vision
When you have a good idea of how you want something to be or what you want the end product to be, you can better manage your time and skills on development. For example, you won’t start writing an email unless you know what you want to mention in that. This is the same for every project, every report, paper, or product you work on. Please make sure you spend time to make a clear picture of what you are doing and for what reason it is being done so that time is not wasted with ideas and half of the projects created are thrown away.
Communication is the key!
This is important for the organization! It would be best if you communicated effectively with your team members and others to care about deadlines and schedules and understand the schedules of others. If you communicate effectively, you will understand the urgency (or inadequacy) of all the projects left on your desktop, which means you will be better able to manage your own time and workload. Without clear verbal or even non-verbal communication, it isn’t easy to organize yourself and your work and those around you.
Practice positive reinforcement
Encouraging, motivating, and rewarding yourself and the people around you is the key to create positive reinforcement. Tell employees and people around you that they are doing a fabulous job, and criticize but constructively. The key is to provide personal incentives to finish the job well – should they get a free vacation or free coffee to perform above and outside their roles?
You should clearly communicate one employee’s success to another staff to develop a sense of complementarily to motivate others. When you motivate your co-workers to work harder and get rewards in return, they are more likely to put more productivity high on their to-do list.
Improve working conditions
A comfortable working environment can increase efficiency as well and make yourself organized as well. An environment that is too hot or too cold interferes with concentration because workers spend more time walking around and doing less work. Ensure the environment is as much as according to the needs as possible to stay well organized and efficiently work.
Choose the right tools and equipment for the right job
Providing employees or yourself with the right tools and equipment is incredibly important so that you can perform your tasks quickly and finish them on time as well. Think about that if you have a slow processor or pc or even printer, then how much time will it take to do the simple job done in just a few seconds.
The latest programs and tools make a significant difference in the workforce and the attainment of goals for yourself and your company. Save your time and effort as much as possible by acquiring new and latest devices that can perform multi-tasks and are up-to-date, so your work does not get affected by it.
